DESK BOOKING & ROOM BOOKING
Desk booking and room booking software that gives staff a frictionless way to reserve workspace and meeting rooms — and gives facilities teams real visibility over occupancy. Strive AV designs and integrates desk booking, hot-desking and room booking systems with the right hardware, signage and AV.
Streamline Your Space Management
Scheduling shared spaces in busy environments such as offices and across campuses can be a challenge. Room and desk booking can help bring both operational and realised benefits to users.
By combining meeting room booking software with hardware such as control panels and illuminated wall and ceiling signs, users will be able to clearly see the status of a room, when meetings are scheduled and when they are due to finish.

Room and Desk Booking FAQs
Q.How much do room and desk booking systems cost in the UK?
Costs split into hardware, software licences and installation. Room booking panels (Robin, Condeco, Joan, Logitech Tap Scheduler, Crestron TSS-770) typically cost £450–£900 per panel installed, with software licences usually £8–£15 per panel per month. Desk booking is generally £3–£8 per desk per month for the software, plus optional desk LED indicators or QR labels. A full hot-desking and meeting room booking rollout for a 200-desk, 20-room office is typically £35,000–£65,000 in year one. We provide fixed-price quotes after a workspace audit.
Q.Which room and desk booking brands do Strive AV install?
We are vendor-agnostic and partner with the leading workplace platforms including Robin, Condeco, Joan, Logitech Tap Scheduler, Crestron Mercury and TSS, Cisco Webex Scheduler, Evoko, Microsoft Teams Panels, GoBright and Tribeloo. The right platform depends on your calendar system (Microsoft 365, Google Workspace), how you handle hot desking, the complexity of your booking rules and whether you need occupancy sensors and analytics dashboards.
Q.Do booking systems integrate with Microsoft Outlook and Google Calendar?
Yes — every system we install integrates natively with Microsoft 365 (Outlook, Exchange, Teams) and Google Workspace (Calendar). Users continue to book rooms and desks the way they always have — via Outlook, Teams, mobile app or kiosk — and the panels, desk indicators and analytics dashboards stay in sync automatically. We handle the tenant-level configuration, room-mailbox creation and SSO integration as part of the install.
Q.Can you support hot desking and neighbourhood-based working?
Yes. Modern desk booking platforms such as Robin, Condeco and GoBright support hot desking, fixed desks, neighbourhood zoning, team booking and visitor desks. Employees can book a desk on the floorplan from the mobile app, tap their access card on a desk indicator on arrival or check in via QR code. We design floorplans, install LED desk indicators and configure the booking rules around how your hybrid workforce actually works.
Q.Do booking systems include occupancy sensors and analytics?
Yes — most platforms now ship with optional desk and room sensors. Common options are PIR motion sensors, ToF (time-of-flight) people-counting sensors and CO2 sensors. Sensor data automatically releases ghost bookings, drives analytics dashboards on real utilisation and feeds your space-management strategy. Brands we deploy include Disruptive Technologies, Pointgrab, Density and the native sensors from Robin and Condeco.
Q.What's involved in installation and how long does it take?
A typical UK install for a single floor with 10–20 meeting rooms and 100–300 desks takes 2–4 weeks. Our scope normally covers floorplan design, room mailbox provisioning, software configuration and SSO, mounting and cabling of room panels (PoE), labelling or LED indicators on desks, sensor commissioning, analytics dashboard setup and end-user training. We can also phase rollouts across multiple buildings to minimise disruption.
