A Google Meet room is rarely a standalone buy. Unlike a Zoom or Teams room, which is bought primarily as a meeting endpoint, a Google Meet room is one more managed node in a Workspace estate that already includes Calendar, Drive, Chrome devices and the Admin console. The buying decision therefore involves IT, security and facilities together, and the value of each room is shaped by how cleanly it slots into the wider Workspace tenant. The matrix below maps the integration points that tend to matter most during procurement.

Google Calendar

One-tap join from the room display and the Logitech Tap or Poly TC10 controller, with calendar resources automatically holding the room and pulling in Meet links for every booking.

Matters most for: Workspace-only organisations where Calendar is already the single source of truth for room booking.

Google Drive

Meeting recordings, transcripts and chat history land in the host's Drive automatically, with sharing permissions inherited from the calendar invite for in-room and remote participants.

Matters most for: Legal, professional services and research teams where meeting artefacts feed straight into client matters and project folders.

Chrome Device Management

ChromeOS-based hardware such as the Asus Chromebox, Lenovo ThinkSmart Hub and Series One Desk 27 inherits OS policy, auto-update channels and network configuration from the same console used for Chromebooks.

Matters most for: Education and frontline-heavy organisations already standardised on Chrome Enterprise.

Google Admin Console

Centralised room enrolment, remote reboot, firmware management, peripheral health monitoring and granular policy at organisational unit level, all from one tenant-wide console.

Matters most for: Multi-site IT teams running a global UK and EMEA estate from a small central support function.

Security and Compliance

Context-Aware Access, host management controls, meeting encryption, data regions for Workspace and the audit log feed into the wider security posture and SIEM tooling already in place.

Matters most for: Financial services, healthcare and public sector buyers with strict data residency and audit requirements.

Interop with Microsoft 365

Google Meet rooms can guest-join Microsoft Teams and Zoom meetings, and Workspace can be configured to coexist with an Exchange or Outlook estate for organisations partway through a migration.

Matters most for: Hybrid M365 and Workspace estates, common in firms that have grown by acquisition or that run Workspace for some divisions only.

Google does not build the room hardware itself; it certifies partner devices instead. The current UK-relevant range covers Logitech (Rally Bar, Rally Bar Mini, Tap IP), Poly (Studio X30, X50, X70), Asus Chromebox compute kits and Lenovo ThinkSmart Hub controllers, so the hardware choice is largely about acoustics, room size and existing AV control rather than which logo sits on the box.

Q.How much does a Google Meet hardware room cost in the UK?

A small Google Meet huddle room with a Logitech Rally Bar Mini or Poly Studio X30 plus a 55-inch display typically starts around £4,500–£6,500 fully installed. A medium room with a 65-inch display, Logitech Rally Bar and Tap IP scheduler is usually £8,000–£12,500. Large boardrooms with the Poly Studio X70, dual displays and ceiling microphones run £15,000–£28,000+. Pricing excludes the £200 per room per year Google Meet hardware licence. Q.Which hardware is certified for Google Meet rooms?

Google Meet hardware now runs on the ChromeOS-based Google Meet Series One platform and the broader Android-based device programme. We install certified kit from Logitech (Rally Bar, Rally Bar Mini, Tap IP), Poly (Studio X30, X50, X70 and Poly G7500) and the Series One Desk 27 for executive use. Each device is enrolled in the Google Admin console for centralised configuration, monitoring and OTA updates.

Q.Do I need a separate Google Meet hardware licence?

Yes. Each Google Meet hardware device requires its own Meet hardware licence — UK list price is £200 per device per year, separate from your individual Google Workspace user licences. The licence covers device management, security policies, automatic updates and 24x7 Google support. We supply the licences alongside hardware on a single UK invoice and configure devices in your Google Admin console as part of the rollout.

Q.What room sizes work best with Google Meet hardware?

We design Google Meet rooms for every space class. Focus rooms and 2–4 person huddle spaces use the Logitech Rally Bar Mini or Poly Studio X30. Standard 6–10 person meeting rooms use the Logitech Rally Bar or Poly Studio X50. Large boardrooms and 14–20 person rooms typically use the Poly Studio X70 or the Logitech Rally Plus modular system with ceiling microphones. We map device choice to acoustics, table layout and display size.

Q.How quickly can a Google Meet room be installed?

A typical single-room installation including mounting, cabling, device enrolment in Google Admin, calendar integration and user training is completed in one working day. Rooms requiring AV-over-IP, ceiling mic arrays or Crestron control are usually two to three days. We can run multi-room rollouts across UK head offices and regional sites with weekend or out-of-hours installs to avoid disruption to business meetings.

Q.Does Google Meet hardware work with Microsoft 365 or do I need Google Workspace?

Google Meet hardware requires a Google Workspace tenant for management, but the rooms can join Microsoft Teams and Zoom meetings using interoperability features. If you are still on Microsoft 365 we can run a hybrid setup or migrate calendar and email to Workspace as part of a wider deployment. We also help organisations with mixed estates standardise on Google Meet for video and keep Outlook for email until they are ready to migrate.

Q.Can I integrate Google Meet rooms with our existing AV control systems?

Yes. Logitech and Poly Google Meet devices integrate with Crestron, Extron and Q-SYS for advanced control of lighting, blinds, audio and AV-over-IP routing. Logitech Tap IP and the Poly TC10 are touch controllers that can also act as scheduling panels outside the room. For divisible spaces we can configure dual-device setups so the room joins one Meet call when combined and two separate calls when split.

Yes.
