Q.How much does a visitor management system cost in the UK?

Cloud visitor management software is typically £40–£200 per location per month depending on features and visitor volume. SwipedOn and Sign In App start around £40–£75 per site per month, Envoy is usually £100–£200, and enterprise platforms such as iLobby and Proxyclick (now Eptura Visitor) sit at £150–£400+ per site per month. Hardware (a 10–13 inch reception iPad or Windows tablet, stand, badge printer and label cartridges) is a one-off £600–£1,500 per reception. Installation, branding and integrations are quoted separately.

Q.Which visitor management brands do Strive AV install?

We are vendor-agnostic and partner with the leading UK visitor management platforms including SwipedOn, Envoy Visitors, Sign In App, iLobby, Proxyclick (Eptura Visitor), Greetly, The Receptionist and Microsoft Power Apps-based custom builds. The right platform depends on your security requirements, multi-site needs, branding expectations, NDA workflow and integrations with access control, calendars and pre-registration.

Q.Do visitor management systems include badge printing?

Yes — badge printing is a standard option. We typically deploy Brother QL-820NWB or Dymo LabelWriter 550 thermal label printers connected to the reception iPad or tablet over Wi-Fi. Visitor badges are printed on arrival with the visitor's name, photo, host, date, expiry time and a custom branded background. For higher-security sites we can deploy plastic-card badge printers (Zebra, Evolis) with smart-chip integration to your access-control system.

Q.Are visitor management systems GDPR-compliant and how is data retained?

All the platforms we install are GDPR-ready when configured correctly. Visitor data is stored in EU/UK data centres, retention periods are configurable (we typically recommend 12–24 months for visitor logs depending on industry), and visitors can sign privacy notices and NDAs at the kiosk. We help you complete a Data Protection Impact Assessment (DPIA), draft visitor privacy notices and configure auto-deletion to align with your data retention policy.

Q.Can visitors sign NDAs, health declarations and site rules at check-in?

Yes. Modern systems such as SwipedOn, Envoy, Sign In App, iLobby and Proxyclick all support custom workflows where visitors are presented with NDAs, contractor inductions, health and safety briefings, site evacuation videos and PDF agreements at the kiosk. Signed copies are stored against the visitor record, hosts are notified, and you have a defensible audit trail. We can configure different workflows per visitor type (contractor, interview candidate, supplier, courier).

Q.Do visitor management systems integrate with access control and security?

Yes — most enterprise platforms integrate with leading access-control systems. iLobby and Proxyclick integrate natively with Lenel/S2, Brivo, Genetec, Paxton Net2, Gallagher and CCURE 9000. Pre-registered visitors can be issued temporary QR codes or RFID cards on arrival, with access automatically expiring at end of visit. We can also feed visitor data into Active Directory, watchlists and CCTV/VMS for additional security overlays.

Q.Can you deploy visitor management across multiple UK sites?

Yes — multi-site rollouts are a core part of our work. We deploy with a single tenant covering all UK locations so brand, NDAs, retention and reporting stay consistent, with per-site customisation for hosts, languages and emergency procedures. We handle hardware procurement, kiosk branding, network and printer configuration, host training, integration with Active Directory, and a phased rollout schedule that minimises reception disruption.
